Making La Treasure Chest an electronic-only newsletter has been discussed at Assembly for years. The change was discussed at the August 2011 and the motion is scheduled to be voted on at the next Assembly in November. Let your Group Representative (GR) know your opinion and get them to Assembly to vote!

Hot Topic for November Assembly

The hot topic for the delegate’s presentation in November is scheduled to be ‘Do Not Refer’ i.e., removing a group from a published or electronic meeting list if they are not following traditions. Refer to the Forum article on page 31, August 2011, for more information.

Al-Anon International Convention

The next Al-Anon International Convention will be held in Vancouver, British Columbia, Canada, July 5-7, 2013. Can you imagine what it sounds like to hear 5,000 attendees (Al-Anon, Alateen, AA and guests) say the serenity prayer? More info on the WSO website in the member section. The password is your group name followed by AFG, no spaces.

Minutes of the Business Meeting of the Membership of the LA AFG Area Assembly. Inc.

August 21, 2011

A regular and properly-noticed meeting of the membership of the non-profit corporation, LA AFG Area Assembly, Inc. was held on August 21, 2011, with 36 Group Representatives present.

Area Assembly Chairman, Clif B., opened the meeting with a moment of silence followed by the Serenity Prayer. He read the mission statement. He welcomed newcomers. He read the an­nouncement from the suggestion box: “An announcement needs to be made that schedules for Area Assembly are in the LA Trea­sure Chest. Anyone who does not have it can get one where?” Clif says you can get it from the website and print it out and get a schedule that was passed around earlier (in this Area Assembly). A second announcement: If you get an e-mail address here at Area Assembly or in Al-Anon, please do not send them any jokes or anything else unless you have their permission to do so. Clif read Al-Anon Things to Remember: 1.) Ask questions. We want you to succeed!!! 2.) Presume goodwill: Everyone here has good inten­tions for Al-Anon!!! 3.) Listen to others point of view with an open mind!!! 4.) Ask for help: This is a “We” program!!! 5.) Finally: Who are the Most Important People Here??? The “GRs” (Group Representatives).

Important dates to remember: We have one more Area Assembly for this year. It will be on November 19, 20, 2011. The follow­ing are the 2012 dates: March 24, 25, May 19, 20, August 18, 19, and November 3, 4. They are here at Holiday Inn South in Baton Rouge. The phone number is 225-924-7021. The room rate is $99. These 2012 dates are tentative. They could change. The hospitality room is available to all.

OFFICER’S REPORTS

Secretary: Emily T. asked if there are any additions or correc­tions in the May 22, 2011 Business minutes. Sylvia corrected the date of the International Convention to 2013. Clara E. made a mo­tion to accept the minutes as corrected. Diane S. seconded it. It passed.

Treasurer: Myrna B. reported the balance on 4-30-2011 was $18,282.57 plus the net income of $79.91 equals the balance on 7-31-2011 of $18,362.48. Less reserve of $2,000.00; SCR 2014 delegates’ fund of $400.00; Alateen funds of $452.89 equals avail­able funds of $15,509.59. She requests the group treasurer make the donations check payable to LA Area Assembly and mail it to her address: See your GR for this address.

Alternate Delegate: Angela A. reported: 1.) Thank you to Cindy D. from Covington for her willingness to share her experience, strength, and hope with us last night. Angela did tape Cindy’s talk and will work to make copies available, if you are interested. 2.) Thank you to Michael S. for framing our “Hot Topic” of Dual Membership roles in Al-Anon yesterday afternoon, and to Sylvia, both for her Delegate’s report, and for moderating our discussion during the workshop. Also, thanks to Katie R. and her son, as well as Cindy D. for their entertaining commercial messages for CAL (Conference Approved Literature). They are willing to share their script, if you would like to use it in your District. GRs, please remember that Saturday afternoon is where we come to receive information from WSO via our Delegate, to learn and inform one another with workshops, to work together on specific projects (Ac­tion Committees), and to get to know one another in the fellow­ship. Please don’t cheat yourself of this very valuable opportunity to grow in your recovery! 3.) DRs (District Representatives), Co­ordinators, and GRs are invited to consider serving the Assembly by volunteering to be our Saturday night speaker. Please consider praying about this and speaking with your service sponsor and then contact me if you would like to volunteer or if you would like more information. Delegate: Sylvia G. (Panel 51 LA) says yesterday’s discussion was great. She says she sponsors several women who are willing and are busy. Around the state, I’ve been invited to go to District 7 by Estelle A., DR, the first week in August. Michael S. will be with me. I was able to talk to them about myself, my service work, and what happened at the WSC. Another major delegate day will be October 1 in Slidell. I’ll be sharing my experience strength, and hope and what I do as your delegate. I’ll be sharing about being your delegate, and we will do a workshop on Sponsorship at Dis­trict 12 in Lake Charles on October 8, 2011. Michael S., Kelli S., Susan B., and Yvonne J. will help with the workshop.

Sylvia says she thought yesterday’s “Hot Topic” on Dual Mem­bership went well. Many people said they had discussed it with their group and came back to discuss it here. That is absolutely awesome!

At our next Area Assembly in November, I will be telling you what I’ve been doing as your delegate. Our next “Hot Topic” will be on the “Do not refer” or “delist a group.” That means re­moving from a printed or an electronic meeting list as published by an area. They are listed as an Al-Anon group but they are not following the Traditions or using Conference Approved Literature (CAL). There are no guidelines for this. That is why we are going to discuss it. Is there a way to work this out? This topic will be discussed on the Board at the WSC in April. If you want to read ahead, The August Forum talks about it on page 31. It is also in the World Service Conference Summary. Discuss this topic with your group and then come back to the November Area Assembly to discuss it.

The World Service Conference Summary has just about every­thing that happened at the conference. It is on the web page. It’s free. You can read it. You can buy it if you want to buy it. You can borrow it from your DR. I encourage you to read it.

Does anybody want to work at the World Service Office? They have a position for Group Services Analyst 1 Alateen. It is posted on the member’s website. If you are interested in this job, you can contact the WSO.

Sylvia says she received a letter about Twitter and Facebook. We have begun posting information about Al-Anon on twitter.com and facebook.com. We hope these social media websites will help to carry Al-Anon’s message of hope and recovery with as broad an audience as possible. To follow Al-Anon on Facebook: 1.) Login to Facebook 2.) This is due to Twitter’s requirements. Our Twitter page clearly states that anyone member or non-member is welcome to the information provided there. Following Al-Anon on Twitter should not be interpreted as a statement of Al-Anon membership. It is not anonymous. It is a public website. Kelli S. and Michael S. showed Facebook to the members on their iPad. Look for us at Al-Anon WSO. We are not accepting any friends on Facebook. Even though we understand building a large group of friends is a big part of how Facebook really works. We are sharing information we hope you will pass on to others but ask that you not identify yourself as an Al-Anon member on a public website such as your Facebook page. Also, we would not want someone to look at the WSO’s list of friends and assume that the WSO’s friends are Al-Anon members and then market products or services with Al-Anon’s friends.

The 2012 WSC theme is “Our Spiritual Journey-we get as we give.” The dates will be Sunday April 15-19, 2012. It is going to be in Stamford CT. It is at the Stamford Marriot Hotel and Spa. Mardi Gras beads are popular as love gifts. Sylvia showed us flat rate mailing boxes. She requests we fill up the boxes and mail them to her in Stamford CT in 2012.

After the Board meets, the Chairman of the Board of Trustees, Karen R., writes a letter to Sylvia and others. The COB letter is on the WSO member webpage. It has very important infor­mation for you to know. It contains what is happening at WS. After getting the letter, they have a conference call. She read the letter to the members. She wants us to think about it. If you have something you want to discuss with Sylvia, this is the time to do that. It was written on August 4, 2011.

SPECIAL COMMITTEE REPORTS:

Convention: Becky Moss reports the Al-Anon convention will be July 20, 21, & 22, 2012 at Holiday Inn Central. Celebrating 60 years of Experience, Strength, and Hope was held on July 15, 16, & 17, 2011 at the Holiday Inn Central in Lafayette. There were 377 registered. 364 paid, 7 hardship, 6 complimentary (guest speak­ers), and 9 Alateen. There were 82 attendees at the banquet. 70 paid and 12 were complimentary. She says they met their quota of banquet tickets sold which helps keep the convention expenses down. The treasurer’s report includes Revenue at $13,232.95 mi­nus expenses at 14,277.84 equals a net loss of $1,044.89. We have a healthy reserve which we have set aside so our current balance in our checking account is $15,802.40. All of our bills are paid. We are set up for next year. If you are new, the $15,802.40 is part of our reserve. This is almost the cost of putting on a convention in case the convention had to be cancelled because of something we couldn’t avoid like a hurricane. We have to cover any cost we may not be able to get out of in case of a cancellation. Al-Anon will be able to pay its bills. She hopes next years convention will be bigger and better. They hope to increase the attendance. They will meet soon. Contact the committee if you have ideas. Clif asks us to go back to our groups to donate to make up the $1,044.89.

Newcomer’s meeting: Jay P. reports there were 7 newcom­ers. We had a GR from District 13, a GR from District 2, and a GR from District 1. He says he loves his job.

ACTION COMMITTEES

Group Services: The chairperson, Katie R., reported 16 en­gaged, service-minded members participated in setting goals to strengthen the connection between Assembly and existing groups and encourage groups to have a GR that attends Assembly. Goals Set: 1.) Decided to accept the invitation to host a Saturday work­shop at the 2nd Assembly in 2012. Discussed topics that would illustrate our committee goal and inspire other GRs in attendance to carry the message. 2.) Members committed to continue to visit groups with groups with no GRs, personally invite members to As­sembly, and request that groups promoting an “expense paid trip” to Assembly for one of their members just to experience Assembly (not necessarily as a GR). 3.) For Archives each member received a folder with a Longtime Member Questionnaire and committed to seeking out members to make audio recordings as they answer. 4.) Members committed to continue to talk about and promote existing Alateen groups and outline what is necessary to start an Alateen group in areas where there is no meeting. Goals Met: 1.) Brainstormed ways to encourage groups and to send members to Assembly as “Investigative Representatives.” 2.) Members re­turned completed Group History Information forms for Archives and discussed the purpose and value of our Archives. 3.) Encour­aged members to check the information on the file for their meet­ings so that mailing addresses, meeting times, and locations are kept current.

Fellowship Communications: The chairperson, Sandra L., reported there were 9 amazing Al-Anons present from Districts 5, 6, 10, and 14. The committee is providing cards with the WSO website and password and the Louisiana Al-Anon website and password for GRs to take back and distribute to members of their home groups so they will have access to the members-only parts of those websites. We will also be sending cards to the state AIS offices for distribution.

The committee is working to present a workshop on the Forum in 2012 although we now know that will probably take place in 2013.

The committee is supporting a motion to go electronic only with the LA Treasure Chest. Publishing the newsletter electroni­cally saves printing and mailing costs, provides faster service, and eliminates space restrictions. October 19, 2011 is the deadline to get articles into the LA Treasure Chest.

Membership Outreach: The chairperson is Patti V. Claire D. reported there were 12 members present. Long term goal: Begin sharing with Assembly and our groups about the International Convention in July of 2013 which will be held in Vancouver Brit­ish Columbia, Canada. Goals Set: We will start planning “The 500 Campaign” to promote the 2012 LA State Convention with a goal of getting 500 registered attendees. Ideas discussed were bookmarks, magnets, etc.-indicating the dates and theme of the con­vention. We will share our experience, strength, and hope gained from attending past conventions and loan out CDs of convention speakers to spike interest in attending. The committee encourages groups to bring flyers to Assembly and also have them posted on our Louisiana website and the WSO website (WSO posting needs 4 months advanced notice). Information can also be shared with Officers, Coordinators, and DRs through e-mails provided for each on the State website The committee discussed the possibility of Districts starting a newsletter to help with communication (exam­ple: The Caterpillar published by Baton Rouge). Goals Met: Kelli S. from District 10 created and set up an “awesome and amazing” display board at the July Convention with information about Area Assembly. Its representation and other general information and where to get the answers: “the Service Manual.” In July, District 7 implemented the committee’s idea of having a “meeting of the month.” This entails visiting other meetings for added support and

sharing and will be an on-going venture. With so many newcomers and small groups, the added support will be an enhancement to the meetings and to the member’s personal growth. District 10 will initiate their “meeting of the month” in September. The committee encourages other Districts to do the same.

Public Outreach: The chairperson is Carmen O. Gloria H. re­ported there were 17 members present. Goals Set: 1.) Focus on outreach to the Spanish community. We ask that GR and DR poll members searching for Al-Anon members who have conversa­tional Spanish skills. Also, brainstorm ideas of possible road­blocks and then, try to seek ways around the roadblocks. Con­cerns mentioned included safety of those attending and the fear of getting started. Groups and Districts can help new meetings get started by donating literature. Contact to form new groups can be­gin at the churches since religion is well respected in the Spanish community/ culture. There are some unregistered Spanish groups that ask the DR’s to help register through the WSO. 2.) Work on workshop details for possibly the May Assembly. We were asked to change the date from March. Goals Met: July-CPC-Florida Parishes Substance Abuse invited us to speak with about 35 indi­viduals with addictions. Some members from Al-Anon joined me, and we shared experience, strength, and hope of how families are affected by the disease of alcoholism. Tools used were the Pre­amble and the bookmark Al-Anon is and Al-Anon is not. We were encouraged by their desire to have us again to speak with families.

June 2011-Angel M. from Metairie participated in the AA Conven­tion in Kenner.

CPC-Members as individuals were invited to participate in a new ministry the Church is developing-SAM-Substance Abuse Minis­try. The purpose of this is to find a way to minister to both the individuals with the problem and their families. It is in it’s infancy, however, as those who are in recovery carry the message of help Al-Anon offers, there was a great deal of interest and honesty. They did not have a clue about the 12 step meetings even though they were aware of Al-Anon, AA, and NA. A “Meeting on wheels” was done by 5 Al-Anon members. Guideline G-22, download from WSO website and print or read it. From that another event is planned for September to include a brief talk, Al-Anon/ Alateen and have tables from various agencies or members for families to come get information. They will take this into other areas, publi­cize in paper, etc. throughout St. Tammany Parish.

Al-Anon equips us with tools such as guidelines, audiovisual DVDs, and open letter series. They are there for us to use to know what to say or do so we can grow in self-esteem, self-confidence, and break out of fear to faith.

KATC 3 in Lafayette had a PSA (Public Service Announcement).

Thank you messages were sent to places that were mentioned at last Assembly that showed PSAs.

Jane S., Cankton, says one member passed out information at Opelousas General Health Fair.

Bea T., Covington-Extra subscription to Forum to put in lobby of the state mental health center.

Johnny A., Shreveport, Last weekend in October (29, 30) will have mini-meetings at AA conference.

There may be Spanish speaking meetings in Shreveport and Ken­ner. There will be a meeting in Baton Rouge on Monday at 7 PM at 7520 Florida Blvd. in the Spanish Center.

There is a new Professional Pamphlet (K-30) which contains help­ful leaflets for professionals who help families and friends of Al­coholics.

New Business: In November, Clif says we are going to hold an election for Secretary. That is what Emily has been doing. On page 151 in your Service Manual, it gives you a description of what the Secretary does. In our Louisiana Area Al-Anon/Alateen Qualifications & Duties Officers & Coordinators is on page 7. One must have filled the position of DR in order to be an officer. If you would like to take that position, we’ll take nominations at Area Assembly in November.

Unfinished Business: Clif says we discussed last Assembly that the LA Treasure Chest is going electronic. It’s in the LA Trea­sure Chest “Is the LA Treasure Chest going paperless?” Cindy D. made a motion: Beginning with the first issue of 2012 the LA Treasure Chest will be available only electronically available two weeks before each Assembly. Cindy says she was asked at the last Assembly was basically “What is our cost?” It has never been the purpose of LA Treasure Chest to make money. Its pur­pose is to get information out. It is estimated that the yearly cost is $754.09. The current paid subscription is $5 times 17 people. We mail 200 plus we pay for a postal permit that costs $200 per year for bulk mail. We would save over $700 per year if we went electronic. We have been talking about this for a long time. We ask you to go back to your group to ask if anybody has questions. It will not be e-mailed. It will be on the website two weeks before the Area Assembly for everyone. There was a discussion. Someone in the group could copy it for the person who can’t get it. Clif says we will entertain this at the next Assembly.

Johnny A., webmaster, says the LA Treasure Chest can be e-mailed. Our LA website is private. http://www.la-al-anon.org username and password is available from you GR. This is to maintain the ano­nymity of our site. We paid to keep people from using our site for business purposes or advertising. He is trying to keep the calendar as accurate as possible. Continue to copy and paste in your e-mail to update your meeting list. He is trying to set up a specific place for updating the meeting list. He is trying to link with WSO to the web page for the World Service summary. Clara E. says in order to put the LA Treasure Chest on the Baton Rouge AIS website; LA web would have to give permission to do it. Clif says at the next Assembly we’ll talk about giving Baton Rouge AIS permission to post LA Treasure Chest.

Unfinished business: Clif brought up can dual members hold office beyond the group level? In our Louisiana Area Al-Anon/Alateen Qualifications & Duties Officers & Coordinators, Gen­eral qualifications for Officers and Coordinators on page 4 as fol­lows: 1.) Have a good working Al-Anon program; attend Al-Anon meetings regularly; have a good background and knowledge of Al-Anon policies and the Concepts of Service. 2.) Officers may not also be a member of AA; Coordinators may be dual members. 3.) Officers must be a current DR, newly elected DR, or a past DR who is active at the Assembly level. 4.) Act without favor or partiality. 5.) Know when to ask for specific definition or direc­tion. 6.) Inspire by energy and example so as to secure willingness and cooperation from other members. 7.) Show sensibility when dealing with Assembly funds. Sylvia brought this up as a “Hot Topic.” Sylvia says the discussion yesterday was two fold. Does

the LA Area Assembly want to rescind motion 01-04 and be in compliance with the policy of the worldwide fellowship of Al-Anon, or continue to adhere to the deviation? On 4-1-01, the Assembly voted that dual members may serve as area coordi­nators. (Motion 01-04) Clif asked for any discussion. There was a discussion. Todd B. made a motion about motion 01-04. Motion # 11-01: Motion before Assembly to make no change to motion #01-04. Diane S. seconded it. There were 36 voting GRs. 27 voted yes. 5 voted no. 4 abstained. The motion passed.

Alternate Chair: Sara F. reported there were 68 registered. The Silent auction made $185.00. District 10 won the Spirit stick with 14 people in attendance. Our web provider has fixed an email storage problem (again). I’ve been able to successfully rescript the MeetList Reporter app on our website. At this time everything works.

Please use the menu item “MeetList Reporter” to report changes, new, or remove meetings from your meeting list page. Continue to send your new meeting lists as PDF and RTF or Word files for posting on the website. I will not be scrutinizing them for changes. Every quarter or six months I will compare location pages with newest meeting list image on the website. The MeetList Reporter is the fastest way to get changes made. Those who mail in their changes; posting should occur within 24 hours of receipt (allow for delivery time).

ACTION COMMITTEE OBJECTIVES

Fellowship Communications Committee

Encourage the use of Conference Approved Literature (CAL) and the Forum, encourage member response to needs for new literature, provide guidance on the use of CAL and the Forum in group meetings and all Al-Anon functions.

Group Services Committee

Strengthen connection between the Assembly and existing groups, encourage each group to have a GR attend the Assem­bly, reach out to newly registered groups to invite participation, keep a mailing list current and record history of the group.

Membership Outreach Committee

Find ways to communicate within the fellowship about Al-Anon and Alateen activities, plan cooperation and information sharing for Al-Anon and Alateen participation in area conventions and workshops, reach out to members to invite unity and participation.

Public Outreach Committee

Carry out our primary purpose through outreach to the public and professional community, help reach the goal that every person will know that Al-Anon and Alateen are the best source of help for families and friends of alcoholics, make getting in touch with Al-Anon and Alateen easier in Louisiana.
